For students: signing up & accounts

How do I join my teacher's class?

During sign-up you'll be prompted to enter a class code. It's a short six-character code your teacher will share with you (e.g. K7XM92). Enter it at that step and your account will be linked to your class automatically, with the correct subject, exam board, and tier pre-configured. If your teacher sends you a class link or QR code instead, opening it first shows you the class and school name so you can check it is the right one before you create your account. If you've already signed up and skipped the code, get the code from your teacher and enter it at educator-labs.com/join. The question on joining a class later, below, explains what that changes.

Can I use Educator without a class code?

Yes. When the sign-up flow asks for a class code, select No - I'm studying on my own to continue as an individual learner. You'll get a free account with access to every live subject: Food, History, Geography, Combined Science, Religious Studies, D&T, Business Studies, Computer Science, PE Theory, Drama, Sociology, and Psychology, plus Music (in Beta), each at GCSE and KS3. You see cards for both exam tiers, and your exam board starts on Eduqas for every GCSE subject that offers it; Psychology has no Eduqas board, so it starts with no filter, across AQA, OCR, and Edexcel. Change it per subject on your profile under My subjects, where each GCSE subject you study has an Exam board select. It takes effect from your next session, and All boards removes the filter altogether. KS3 content has no exam board. No teacher involvement required.

I'm already signed up as an individual. Can I join a class later?

Yes. Ask your teacher for the class code and enter it at educator-labs.com/join, or open the class link or QR code they share. The code is the way in: a teacher cannot add an existing individual account from their class roster, and a roster import refuses an email that already has an account outside the school. Your existing XP, streak, and mastery carry over, and nothing is reset.

Joining turns your account into a school student account in that class, the same as if you had entered the code at sign-up. Before anything changes, the join page shows you the class and school and asks you to confirm. Once you join, your teacher sees your name and progress on the class roster, your practice follows the class's exam board and topic settings, and you move from the public Global and League leaderboards to your class and school leaderboards. The free-tier daily session limit no longer applies, and you earn streak freezes from homework like the rest of your class. You can't switch back yourself, so email support@educator-labs.com if you join by mistake. If you pay for Pro, cancel it in Manage billing on your profile first: you can join once the paid period ends, or email support and we'll move you across.

How do I change my exam board?

If you're in a teacher-managed class, your board is set by your teacher in class settings and cannot be changed independently, so speak to your teacher if it needs updating. If you signed up as an individual learner, each GCSE subject starts on Eduqas where it offers Eduqas (Psychology, which does not, starts on all its boards), and you can change it yourself, one subject at a time: go to your profile, find My subjects, and use the Exam board select next to each GCSE subject you study. The change saves straight away and takes effect from your next session. Choosing All boards removes the board filter entirely, so you see every board's cards for that subject. KS3 content is not board-specific, so it is unaffected either way. If anything looks wrong, email support@educator-labs.com.

Can I switch subjects or add a new one?

Yes. From your dashboard, use the subject switcher to add any subject available on your account. Each subject has entirely separate progress: its own XP, streak, mastery map, and leaderboard. Your rank is the one thing shared across subjects, because it is driven by your account-wide XP. Adding a subject doesn't affect any of your other subjects, and you can have as many active at once as you like. To keep the switcher tidy, open My subjects on your profile (/me): pick a Key Stage and tick exactly the subjects you want, and only those appear in the header switcher, alongside a "Manage subjects" link to change the selection.

What if a student is under 13?

It depends which route they took. Joining a school class works the same way at any age: the school decides which pupils use Educator, and a live class join code is the evidence it authorised them, so the school is the data controller and Educator acts on its behalf. We collect no parental consent ourselves on that route - the school handles anything of that kind under its own policies. Signing up as an individual is different: with no school behind the account, an under-13 can begin but the account stays locked until a parent or guardian approves it by email, and is deleted automatically if it isn't confirmed within 7 days. Educator complies with the ICO Age Appropriate Design Code (UK Children's Code). See the Privacy & data page for details.

I forgot my password. How do I get back in?

On the sign-in page, click Forgot password. Educator uses Clerk for authentication, which will send a reset link to your registered email address. If you signed up with Google or Microsoft, use that same Continue with Google / Microsoft button instead. There is no separate password to reset. If you're still locked out, email support@educator-labs.com.

For students: practice & streaks

My streak reset even though I practised yesterday. Why?

Any completed regular session advances your streak: Standard, Speed Round, Marathon, Mark it, Drill weak cards, Topic drills, and Study mode all count. Live sessions (teacher-hosted in-class quizzes) do not count toward the streak. Study mode counts the day as practised but skips the celebratory streak panel on its done screen, so it can look as though it did not. The streak increments once per calendar day (UTC): multiple sessions in one day still only increment it once, and a day with no sessions breaks the streak (unless you have a streak freeze). When a streak has been lost, the done screen of your next session says New streak started today; it says Streak protected when a freeze kept it going. Check your session history on your profile: if a session shows as "completed" that day, your streak should be intact. If it reset unexpectedly, email support@educator-labs.com.

How do I earn a streak freeze?

School students earn freezes two ways: the first time they complete each homework assignment their teacher sets, and one freeze for every 7-day streak milestone (capped at 5 held). Individual Pro subscribers, and individuals still in their 7-day trial, earn freezes the same way. Free individual accounts past the trial cannot earn freezes at all. One freeze is used automatically on any day the student does not complete a session. If a gap is longer than the freezes you hold, the streak resets and you keep your freezes.

What is the daily goal and can it be changed?

Your daily goal is the card target for a standard session. The default is 15 cards. Teachers set it for their class from class settings, for example raising it during intensive revision periods or lowering it during the holiday wind-down. There is currently no self-serve control for a student or an individual learner to change it. Completing any regular session advances your streak regardless of the goal.

Why do I keep seeing the same cards?

This is intentional. It's how spaced repetition works. Cards you've answered incorrectly recently are shown more often so you can lock them in. Once you answer a card correctly several times in a row, it moves up the mastery ladder (Seen → Familiar → Proficient → Mastered) and appears less frequently. If you feel a card is genuinely wrong or unfair, use the Something wrong with this card? link after answering to report it.

How do I flag a card I think is wrong?

After you answer a card, tap Something wrong with this card? beneath it. You can add a short note explaining the issue, e.g. "answer seems outdated" or "two answers seem correct". Every report is reviewed by our content team, usually within a few days. Cards with open reports are flagged internally but remain in the deck until corrected.

What does my mastery chart show?

The mastery chart shows where every card in your subject sits across five levels, based on how consistently and recently you've answered it correctly:

Unseen

The card hasn't appeared in any of your sessions yet.

Seen

You've encountered the card but haven't consistently answered it correctly.

Familiar

You're getting it right more often than not but it still slips up occasionally.

Proficient

You're reliably correct, so the card surfaces less often to make room for weaker ones.

Mastered

Consistently correct over multiple sessions and spaced intervals. Still reviewed occasionally to prevent forgetting.

The goal before an exam is to get as many cards as possible to Proficient or Mastered. Use the Drill weak cards mode to focus on the cards you last answered incorrectly. It never draws Unseen cards, because a card you have not met yet cannot be one you got wrong; use a Topic drill or a standard session for fresh material.

For individual learners: pricing & Pro

What is included in the free tier?

New individual accounts get a 7-day full-access trial, no credit card required. After the trial, free accounts can complete up to 5 sessions per day across all subjects. All card content, all subjects, all practice modes, and both the league and global leaderboards are accessible on the free tier.

What does Pro unlock?

£50/year or £6/month (cancel any time). Pro removes the 5-session daily cap, keeps you earning streak freezes (capped at 5) after the trial, adds position framing to the global leaderboard (the +XP gap to the rank above), and gives early access to new subjects. The leaderboards themselves, every card and subject, and all XP-earned cosmetics are identical to the free tier: Pro doesn't shortcut them.

How do I upgrade, cancel, or change billing?

Upgrade from the /pricing page or your account settings. Stripe manages billing: you can cancel, switch between monthly and annual, or update your payment method at any time through the Customer Portal linked in your account settings. Cancelling immediately stops renewal; access continues until the end of the paid period.

For teachers

What does the Head of Department role unlock?

The HoD role unlocks the school-wide /school dashboard showing a 7-day stat grid alongside every class in the school and the staff and student lists. The mastery trend and the department-wide Topics to revisit panel are on the SLT report rather than the dashboard. HoDs can also access the SLT report (a printable one-page summary at /school/report), archive and unarchive any class in their subject, and see the school invite code. Assign the HoD role from the School page; a teacher cannot self-promote.

Are Drama and PE Theory available?

Yes. Both are Live at GCSE and KS3. They have complete card banks, full teacher tooling, board pickers, and per-subject leaderboards, exactly like every other live subject. There is no need to hedge on them in a formal evaluation.

Are Sociology and Psychology available?

Yes. Both are Live at GCSE and KS3, with complete, fully-sourced and fact-checked card banks. They work exactly like every other Live subject and are accessible to schools and individuals now. Is Music available?

Yes. Music is available at GCSE and KS3 with a complete card bank and full runtime support (practice, homework, live sessions, leaderboards, and its own Beginner to Maestro rank set). It is currently in Beta pending sign-off by a specialist music teacher: it behaves exactly like a Live subject and is accessible to schools and individuals now, while that content review is completed. Boards are Eduqas (primary), Edexcel, OCR, and AQA. The card bank covers the appraising and listening knowledge layer; performing and composing are practical NEA and out of scope.

How do I get a join code for my class?

The class code is shown at the top of your class page as soon as the class is created. It is a six-character code (e.g. K7XM92). You can display it on-screen, copy it into your LMS, paste it into a Google Classroom post, or print a QR card from the class page. Students scan the QR to open a page that names the class and school so they can check it, then sign up with the code filled in for them. A code typed at educator-labs.com/join is checked the same way, so a typo is caught before any account is created. The code is permanent for the lifetime of the class.

Can I have students practising more than one subject?

Yes. Create a separate class for each subject, and your students join each class with its own code. Each class is configured with its own subject, exam board, and tier. A student studying both Geography and History, for example, would join your Geography class and your History class as two separate enrolments. Progress, streaks, and leaderboards are tracked independently per subject.

Can I restrict which topics students practise?

Yes, down to the individual subtopic. From your class settings, the Topics this class covers tree lists every topic with its subtopics nested underneath. Tick a whole topic, or expand it and tick the exact subtopics in scope, handy for narrowing to the single unit you're teaching this week. Students in standard sessions will only see cards from the ticked subtopics. Tick everything for the full subject (so new content is auto-included). Update the scope as you move through the scheme of work. Switching the class's exam board or Science route re-scopes the tree automatically. Homework assignments carry their own subtopic scope, so you can still target specific revision regardless of the class filter.

How do I see which students are struggling?

On your class page, the Class accuracy by topic section shows a colour-coded accuracy bar for every topic: green (≥80%), amber (50–79%), or red (<50%). Click any topic to see per-card accuracy and the most common wrong answers for the whole class. To see an individual student's breakdown, click their name in the class roster to open their detail page: mastery by topic, recent sessions, and streak.

Do students need an email address to sign up?

Not if you import them. Import students on the class page creates each pupil's account from a spreadsheet of names, with or without email addresses: a pupil without one is given a placeholder sign-in address, and you hand out the sign-in details from the credentials sheet the import produces. A student who signs up themselves needs an email address and a password, or a Google or Microsoft account. Most school students use their school-issued email (e.g. jane.smith@yourschool.sch.uk). Age makes no difference to joining a class: the sign-up is the same at any age, and only an individual sign-up under 13 needs a parent's approval (see What if a student is under 13? above).

What happens to data when a student leaves the school?

Email support@educator-labs.com with the student's display name or school email. We will action the request within 5 working days. Full deletion removes all personal data permanently. School students' data is held under your school's data processing agreement and is never shared with third parties.

For schools: billing & pilot

How does the 4-week pilot work?

Your pilot gives you full access to the entire Educator platform (all teacher tools, all student features, all subjects your school has been set up with) for four weeks at no cost. No credit card is required to start. There is no cap on student numbers during the pilot. At the end of the four weeks we will email you to confirm whether you would like to continue. If you choose not to convert, your account is frozen straight away (student access off, teacher access read-only) and the data is permanently deleted within 60 days. We contact you before the deletion is carried out so you can export anything you want to keep, and you can ask us to delete it sooner. No invoice is ever raised unless you explicitly confirm a subscription.

Is KS3 included in the GCSE subscription?

Yes. KS3 content is bundled free with the matching GCSE subject at every pricing tier. If your school subscribes to GCSE History, your teachers can also create KS3 History classes at no additional cost. The same applies to Food, Geography, Combined Science, and all other subjects. There is no separate KS3 add-on fee.

How do I get a formal invoice for our finance team?

Email hello@educator-labs.com with your school name, the subjects you'd like, and any purchase order number your finance team requires. We'll issue a formal invoice within one working day. Payment can be made by BACS bank transfer, which most schools find the easiest route.

Can we add more subjects after signing up?

Yes, and a Head of Department can do it themselves. The Subject licences panel on the School page (/school) lists every subject: start a free four-week trial for a new one (no card needed), then choose Subscribe to pay by card through Stripe. For a Whole-school licence, use Request invoice on the same panel: your finance team is sent an invoice they can pay by BACS or card, and every subject unlocks when payment clears. Is there a per-student fee?

No. All school pricing tiers are flat annual fees. There is no per-student, per-class, or per-teacher charge. Whether you have 50 students or 500, the price is the same. Unlimited classes, unlimited teachers, unlimited students: all included.

We have multiple schools in our MAT. Can we get a single contract?

Yes. MAT pricing gives each school in your trust the Whole-school rate (all subjects) with a 25% discount per school, +VAT. A single invoice can cover all schools in the trust if preferred. Email hello@educator-labs.com with your trust name and number of schools and we'll put a proposal together.
